Job Title: Bookkeeper and Data Entry Clerk

Job Summary:

We are seeking a detail-oriented and organized Bookkeeper and Data Entry Clerk to manage financial records, process transactions, obtain quotations, handle procurement processes and ensure accurate data entry into our systems. The ideal candidate will have knowledge of accounting principles, excellent attention to detail, and the ability to handle financial data with confidentiality.

Key Responsibilities:

Bookkeeping Duties:

  • Maintain accurate financial records, including accounts payable and receivable.
  • Process invoices, payments, and bank reconciliations.
  • Monitor and manage budgets, cash flow, and financial transactions.
  • Conduct procurement processes.
  • Liaise with accountants.
  • Obtain quotations and liaise with suppliers as necessary.
  • Ensure that procurement policies are adhered to.
  • Prepare reports for Management on financial related information as required and directed by Management.

Data Entry Duties:

  • Input financial data into accounting software (e.g. Sage).
  • Update and maintain records of financial transactions.
  • Verify accuracy of invoices, receipts, and other financial documents.
  • Organize and store electronic and physical documents securely.
  • Ensuring all financial information is up to date.

Required Skills & Qualifications:

  • Proven experience as a Bookkeeper, Data Entry Clerk, or similar role.
  •  Working Knowledge of accounting software (e.g. Sage) and Microsoft Excel.
  • Strong numerical and data entry skills with high accuracy.
  • Knowledge of basic accounting principles and financial regulations.
  • Excellent organizational and time management skills.
  • Strong attention to detail and ability to handle confidential information.
  • Good communication skills, both written and verbal.
  • Ability to work independently and meet deadlines.
  • Fluent in written and spoken Maltese and English.
  • Advanced Level or Diploma in Accounts, Business Administration, or a related field.
  • Experience in bookkeeping is a plus.
